OFFICE MANAGEMENT SECRETARY GRADE II – 243 Positions
MDAs & LGAs are inviting applications from qualified candidates to fill 243 positions for the post of Mwandishi Mwendesha Ofisi Daraja la II (Office Management Secretary Grade II). The application period runs from 22 March 2026 to 04 April 2026.
The successful candidates will be responsible for managing office operations, handling correspondence, and maintaining records. Duties and responsibilities include:
- Typing letters, reports, and both routine and confidential documents
- Receiving visitors, listening to their concerns, and directing them to the appropriate offices
- Maintaining records of events, appointments, meetings, travel schedules of supervisors, and other work plans
- Searching for files and documents necessary for executing office tasks
- Receiving and distributing files and documents to relevant officers in the department/unit
- Collecting, maintaining, and returning files and documents to the concerned sections
- Preparing minutes and organizing meetings as required
- Preparing a list of office supply needs
- Performing other duties as assigned by the immediate supervisor
- Completion of Form IV (O-Level) or Form VI (A-Level)
- Certificate (NTA Level 6) in Secretarial Studies
- Pass in shorthand (Hatimkato) in Kiswahili and English at a speed of 80 words per minute
- Training in office computer applications such as Word, Excel, PowerPoint, Internet, Email, and Publisher from a recognized institution
