In this role, the Admin Transit will ensure smooth coordination of staff movements and administrative processes. Key responsibilities include:

  • Managing visas, flight bookings, and related processes for international staff movements
  • Coordinating travel and administrative formalities such as passports, visas, and per diems
  • Liaising with external partners including immigration authorities, UN agencies, and airlines
  • Handling administrative support for staff in transit, including accommodation, transport, and briefings
  • Maintaining movement tracking tools and updating mission contact information
  • Supervising administrative and support staff to ensure efficient operations
  • Managing guesthouse logistics including room allocation, maintenance, and supplies
  • Ensuring proper filing and timely submission of administrative documentation
Additional context-specific responsibilities include:

  • Following up on work and residence permits with Tanzanian authorities
  • Managing diploma verification processes with institutions such as the Tanzania Commission for Universities (TCU)
  • Providing analytical reports on compliance and staff movement processes
  • Coordinating closely with field teams on staff arrivals and departures
  • Monitoring and optimizing accommodation usage
  • Identifying operational challenges and proposing improvements
